School trip planning for 2016 has started for many teachers, parents and students. We will be taking over 400 students overseas this year, whether on a sport trip, educational adventure or an international ski trip. There is a lot of organisation which goes into coordinating each of these trips and we understand the demands on teachers to spread their time between the classroom and planning for the rest of the year. Educating Adventures aim to make this process as straight forward as possible and have developed a selection of teacher resources to assist. Here are a few of our commonly asked questions that will help you decide if you should get a quote from us for your next school trip.
1. HOW DOES EDUCATING ADVENTURES ACCESS CHEAPER RATES THAN OTHER SUPPLIERS?
We have been organising international school travel since 2006 and have established excellent relationships with suppliers around the world. Through exclusive agreements such as our Kennedy Space Center partnership, we are able to provide schools added value benefits as well as premier pricing and access to workshops, training and educational presentations.
2. WHY IS YOUR QUOTING PROCESS FASTER THAN OTHER SCHOOL TRAVEL PROVIDERS?
Once we have confirmed your trip location and focus we can provide you with a quote and full itinerary within one week, this means you can receive an indication of costs and trip suggestions for consideration sooner rather than later. Our relationships with suppliers and the high number of trips we cater to each year allows us to access live rates and availability and provide detailed itineraries with activity suggestions, so we can turn around quotes faster than our competitors.
3. WHAT ARE THE BENEFITS OF A LOCAL TOUR MANAGER?
Our experienced Tour Managers are available to make any required amendments to itineraries while on tour, resolve any issues which may arise, develop great relationships with students to keep them engaged, on time and excited about each of the trip elements, as well as provide 24 hour support to teachers. We want students AND teachers to have the best time possible on their international school trips and believe the best way to achieve this is by providing a local trip representative to assist teachers while on tour with Educating Adventures.
4. WHY DO YOU HAVE MORE STANDARD INCLUSIONS THAN OTHER SCHOOL TRAVEL PROVIDERS?
Selected school travel providers are reducing their base inclusions such as meals and activities to offer a competitive price to students, if your trip is for 10 or more students however, we strongly advise planning and including meals and activities so no one is left to coordinate payment and bookings for a large group while on tour. Pre-booking is your best option to avoid missing out, as well as accessing group rates and special deals. We include flights, accommodation, meals, activities, ground transfers, your trip representative and so much more. Our standard exclusions are any passport and visa application fees, travel insurance, and discretionary spending money; we can however, provide suggestions if you need assistance managing these aspects of the trip.
5. CAN YOU OUTLINE THE PRE TOUR SUPPORT AND RESOURCES PROVIDED TO TEACHERS?
Our experience with schools has shown us that the best type of pre-tour support is often a clear outline of key dates and deadlines leading up to the trip. This ensures notifications to students and parents are sent allowing plenty of time to gather responses, and also prompts responses from teachers as needed so all aspects of the trip can be coordinated in good time. This approach means teachers avoid chasing details and having to scramble to get all the information needed and provides an organised timeline of when information is needed so we are all on the same page. We also provide you with planning charts, templates, and checklists to make your job much easier. When you are ready to launch your trip we will create you a password protected, bespoke trip webpage which you can use to communicate essential information to parents.
